Who we are

Our website address is: https://www.gradeit.co.za. This Privacy Policy describes how your personal information is collected, used, and shared when you visit or make use of the services of gradeit.co.za or the GradeIt mobile app (together "GradeIt", "we", "us").

Personal information we collect

When you visit the Site, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse the Site, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. We refer to this automatically-collected information as "Device Information".

We collect Device Information using the following technologies:
- "Cookies" are data files that are placed on your device or computer and often include an anonymous unique identifier. For more information about cookies, and how to disable cookies, visit http://www.allaboutcookies.org.
- "Log files" track actions occurring on the Site, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.
- "Web beacons", "tags", and "pixels" are electronic files used to record information about how you browse the Site.

Additionally, when you create an account, make a purchase, or submit items for grading, we collect certain information from you, including your name, billing address, shipping address, email address and phone number, together with your order and grading submission history. We refer to this information as "Order Information". Payment details (such as card numbers) are collected and processed directly by our payment providers on their secure payment pages and are never seen or stored by us.

When we talk about "Personal Information" in this Privacy Policy, we are talking both about Device Information and Order Information.

The GradeIt mobile app

Our iOS and Android app is another way to use the same GradeIt account and services as this website — your account, orders, submissions, wallet and cart are shared between the two. When you use the app we collect and process the same information described in this policy, plus:
- Device and session information — your device model and a per-install identifier, used to secure your sign-in sessions. You can view and sign out of your devices in the app under Account → Sessions.
- Push notification token — if you allow notifications, we store a token issued by Google Firebase Cloud Messaging so we can notify you about your submissions, grade reveals and orders. You can disable notifications at any time in your device settings; the token is removed when you sign out or delete your account.

The app does not access your contacts, location, photos or files. Payments in the app are completed on our payment providers' secure pages — we never see or store your card details.

How do we use your personal information?

We use the Order Information that we collect generally to fulfil any orders and grading submissions placed through the Site or app (including processing your payment, arranging shipping and collection, tracking your grading submissions, and providing you with invoices and/or order confirmations). Additionally, we use this Order Information to:
- Communicate with you, including order and submission status updates;
- Screen our orders for potential risk or fraud; and
- When in line with the preferences you have shared with us, provide you with information or advertising relating to our products or services.

We use the Device Information that we collect to help us screen for potential risk and fraud (in particular, your IP address), and more generally to improve and optimise our Site and app.

Sharing your personal information

We share your Personal Information with third parties only where needed to provide our services:
- Payment providers (Stitch and PayJustNow) process your payments on their own secure pages — see their privacy policies for details.
- Grading companies (such as PSA, Beckett, CGC, AGS and TAG) receive the item details needed to grade your cards.
- Shipping and courier partners receive your name, address and contact details to deliver your items.
- Google Firebase Cloud Messaging delivers app push notifications.
- Google Analytics helps us understand how our customers use the Site — you can read more at https://www.google.com/intl/en/policies/privacy/ and opt out at https://tools.google.com/dlpage/gaoptout.

Our store runs on our own website; your account and order information is stored on our own servers. Finally, we may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.

Behavioural advertising

We may use your Personal Information to provide you with targeted advertisements or marketing communications we believe may be of interest to you. Do not track

Please note that we do not alter our Site's data collection and use practices when we see a Do Not Track signal from your browser.

Your rights

If you are a South African resident, you have rights under the Protection of Personal Information Act (POPIA), including the right to access, correct or delete your personal information and to object to processing. To exercise these rights, contact us using the details below. You may also lodge a complaint with the Information Regulator (https://inforegulator.org.za).

If you are a European resident, you have the right to access personal information we hold about you and to ask that your personal information be corrected, updated, or deleted. We process your information to fulfil contracts we have with you (for example, orders and grading submissions) or to pursue our legitimate business interests listed above.

Your information is stored in South Africa; some of our service providers (such as payment providers, grading companies and Google) may process information in other countries.

Deleting your account

You can delete your GradeIt account at any time in the mobile app under Account → Account details → Delete account, or by emailing admin@gradeit.co.za from your account email address. Deletion removes your profile and sign-in. Records we are legally required to keep (such as invoices for completed orders) are retained only for the statutory period.

Data retention

When you place an order or grading submission, we maintain your Order Information for our records unless and until you ask us to delete this information, subject to legal retention requirements.

Changes

We may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons.

Minors

The Site and app are not intended for individuals under the age of 13, or minors operating without the consent of the individual responsible for the payment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.
